The Role

As the Operations Manager, you are responsible for everything that happens behind the scenes and ensuring it runs efficiently, profitably, and at a high standard. You will serve as the operational engine of the business, keeping people organized, building scalable systems, and driving execution across the entire team.

This is an in‑person role requiring a strong, proactive presence and leadership mindset. Your success is measured by how smoothly, efficiently, and effectively the business operates and how well‑positioned it is for growth.

Compensation & Benefits

  • Base Salary: $70,000‑$80,000 (based on experience)
  • Bonus: 2–5% of net profit
  • Benefits: $200/month stipend
  • In office position

Responsibilities

Build, Optimize, and Scale Operations

  • Design and implement systems across all areas of the business:
    • Transactions and contract‑to‑close processes
    • Client and internal communication
    • Database and CRM implementation, education, and audit
    • Marketing execution and tracking
  • Create and maintain a detailed Operations Manual (written + video)
  • Continuously identify inefficiencies and implement smarter, scalable solutions
  • Ensure consistency and quality control across all operational processes

Own Financial & Business Performance

  • Oversee budgeting, bill pay, payroll coordination
  • Manage commission verification and audit, cross‑referencing disbursements from the brokerage against agreed splits and flagging discrepancies
  • Maintain accurate financial reporting and performance visibility
  • Track ROI across lead sources, marketing, and operational initiatives
  • Identify opportunities to increase profitability and reduce waste

Lead People & Drive Accountability

  • Hire, train, and manage administrative and support team members
  • Build onboarding systems and training processes for staff and agents
  • Hold team members accountable to performance standards and KPIs
  • Support the sales team through systems, tracking, and accountability (not sales management)
  • Support growth initiatives, including agent expansion
  • Foster a culture of ownership, consistency, and continuous improvement
  • Own the accountability infrastructure that makes agent growth possible: tracking, reporting, and systems that hold producers to their commitments

Act as the Operational Leader

  • Act as the right hand to the business owner
  • Bring ideas, solutions, and strategic thinking not just execution
  • Ensure nothing falls through the cracks across operations
  • Oversee client experience initiatives, including client appreciation efforts
  • Maintain strong communication across agents, staff, and vendors

Qualifications

  • 3–5+ years in operations, administrative leadership, or business management
  • 1–3+ years leading people and holding accountability
  • Real estate experience strongly preferred
  • Strong financial acumen and business awareness
  • Proven ability to build systems and improve processes
  • Highly organized and detail‑oriented
  • Strong project management and execution skills
  • Calm, composed, and solutions‑focused under pressure
  • Learning‑based and resourceful
  • High standards with a strong sense of ownership
  • Excellent communication and leadership ability
